The Schluesselruecknahme, Defektmeldung and Verlustmeldung dialogs each show a digital-signature icon, but it is unclear where the captured signature is stored. The question came up during a customer training session. Proposal: hide the signature icons in these three forms, or document the storage location so trainers can explain it.
Signatures captured via smartphone do not include a date and time stamp. DigiPad already embeds this stamp into the signature. Add the same date and time stamp to smartphone-captured signatures for parity.
Notify key holder when issuance is approved Today, when a key issuance requires approval, only the approver receives an email. The key holder is not informed once approval is granted and has to check back manually. Extend the approval workflow so that, after authorization, a confirmation email is also sent to the key holder.
Printable report for deposit management (Pfandverwaltung) The deposit management (Pfandverwaltung) module tracks deposits collected for keys and links them to the individual key holder, with cumulative balances and clearing entries. The list view shows a print button, but it does not currently produce a printable report. Customers have asked for the print function to work so deposit balances can be reviewed, exported, and shared with finance.
Maximum issue duration and return reminder for keys When a key is issued, allow the operator to set a maximum loan period. The system reminds the operator (and optionally the key holder) when the return deadline approaches or is exceeded. Useful for temporary contractors, visiting staff and time-bound assignments.
Four-eyes approval for key and cylinder orders Orders for new keys and cylinders should require a second user to approve before the order is placed. The current workflow lets a single operator place an order with no second pair of eyes. Useful for customers with internal control or compliance requirements.
Destruction protocol for keys and cylinders When a key or cylinder is marked as destroyed, generate a printable destruction protocol that can be signed. A confirmation prompt before destruction prevents accidental marking. The protocol serves as evidence for audit and compliance reviews.
Automatic email to manager on key loss report When a key is reported lost, automatically send an email to the responsible manager of the affected location. Reduces delay in communicating losses and gives management immediate visibility, without manual forwarding.
User groups for assigning locking systems to multiple users Today a new locking system can only be assigned to one user at a time. Allow user groups so a locking system can be assigned to several operators in a single action. Cuts repetitive admin work in larger setups with multiple operators per facility.
